Secret Santa Program Directions

Hi all... I have written a set of instructions on how to submit your pledge and payment of that pledge, and how to make your needs know or to submit a Needs Request. Please give me comments. Have I forgot something or left something out. Please note that their will be a continually accounting for all money coming in and going out using only a transaction number that only the person making the pledge and requesting the needs will know what number is theirs besides the comittee members. The comittee members are Red, sithie, and Spring. Please ask any questions so that I can finalize all issues before I leave on my trip on the 12th. I will have access to a computer since we will have one with us, but I will not be on as much but at least once daily to check for pms etc.

Pledges
1. All pledges must be paid by December 10, 2007
2. To make a pledge send the dollar amount to Red, sithie or spring via a pm through the forum. Indicate how you want to send the money as cash, check, credit card, or pay pal.
3. Once the pledge is received, a committee member, Red, sithie, or spring will send you a pm message thanking you for your contribution and assigning a transaction number to the pledge.
4. After the pm is sent to the person whom makes the pledge, one of the committee members will document the transaction using the transaction number only on the form located in the thread titled, “Secret Santa.”
5. Each pledge will only be identified by the transaction number which only the committee members and the person making the pledge will know.

How to Pay a Pledge
1. This will be explained to you in your reply message after you make your pledge. Your directions will be based on how you desire to pay when you make your pledge.
2. If you choose to pay by selecting a transaction number and dollar amount, then you would review the Needs Form in the thread titled, “Secret Santa” and then notify one of the committee members of the selection. Then you will receive a message via pm with name of person, address, and needs of transaction you have selected.

How to communicate Needs Request
1. Send your “needs request” to one of the committee members as soon as you are aware of them. Request will not be accepted after December 10, 2007.
2. When a “needs request” is received, one of the committee members will document the needs on the form located in the thread, “Secret Santa” using an assigned transaction number and placing a dollar amount on the need.
3. The person submitting the “needs request” will receive a message via the forum’s pm system stating what your transaction number is your privacy and your ability to track the activity on your request.

Committee Process
1. The committee members are Red, sithie, and spring.
2. All communication will be completed through the forum pm message system, and through the thread titled, “secret Santa.”
3. All pledges, payments, and request will be identified through transaction numbers which only the person making the pledge, payment, or request will know and the three committee members. There will be no other access to the information.
4. All accountability for the money you pledge and pay will be available through the thread, “secret Santa.”
5. All accountability for request you communicate will be available through the thread, “secret Santa.”
6. Pledges can be paid through a pay pal, check, credit card, etc. How to do this will be explained to you in your private message once the pledge is made stating route of payment.
7. If there are ever any questions, feel free to pm a message to one of the committee members at any time during this process.
8. Money or cash received will be deposited in to a checking account set up for this program at the Navy Fed Credit Union. This money will be used to purchase the gifts and send to the homes before Christmas, buy the food and send to the homes before Christmas, or pay a utility bill via web pay.
9. People who wish to use a credit card to pay their pledge may choose a transaction line or lines (which will describe the need and dollar amount to the need) and then send a private message to a committee member. Once received the committee member will send all the information to the person making the pledge so that they can purchase and send the needs to the person who requested the need. Once this is done, the person making the pledge will notify the committee member and then the committee member will document on the tracking form located in the thread titled, secret Santa, that it has been done.

I will be sending a check to you also. I will get your address off my package when it arrives. I agree, you really do work to hard.........but giving and doing to help others is what's in your heart of gold. Spring and Sithie, to be so considerate of others in need is a wonderful part to par-take in. All of you have real hearts of gold. My love to all of you!

Red, Sithie and Spring - Thank you all so much for taking this on The way it is set up sounds wonderful and I know it will be a great success. I really can't thank you enough for thinking this through and making it so easy for everyone

Red, What if one of us? Myself wants to shop for a needy child and send the package directly to them like we did last year?. It was so much fun, and I really enjoyed shopping for there gifts.

Tuffy...I remembered that you had said that was the way that you wanted to contribute and I think that is so wonderful that you like to do the shopping for a child. The directions for you are listing under the sub title "How to pay a pledge" number 2. It states that you will see all the needs, by transaction numbers. For instance a family states that they have a daughter who is 4 years old and they do not have any money to buy anything for her for Christmas. They may ask for a dollar amount orwhat they want. The committee will then take this information and write it on a form that will be in the thread with a transaction number. It would be something like this: Transaction Number 100, Need Toys for a 4 year old, dollar amount 25 - 50.00. From there you would identify which line item you want to do the shopping for and then notify one of the committe members so that they can mark it under the pledge column and check off the Needs Request line item. Then you will receive an email with the name and address of the needs request. After you have mailed it, just let us know then we will notify the person who submitted the need and let them know it has been met and it is on its way..I hope this answers your question and for any one else who wants to do the shopping and use a credit card... love Red

Also, for everyone who is submitting a request for a need, please provide your name and your address in your pm. We will maintain the addresses private long enough to assure that your needs are met. They will only be given to a person on the forum when they decide to do as stated by Tuffy above. If you know what you want, for instance toys for a 5 year old, please feel free to say what toys they want, such as Elmo, Dolls, video game, etc with an estimated cost attached to it.

if you are making a pledge, make sure that the money is received by Dec. 10th so that the committe can do the shopping on line and get it to the people who are requesting needs by Christmas. When you make your pledge via pm, it would be good if gave your name to us so that we will know what pledge belongs to what person and transaction number. thanks Red

I think I am in with Tuffy on this = I just love shopping for gifts and wrapping them as well ......... lol So either way I will see what I can do to help out this year.

Pooh, I think that is great, I would much prefer not to have to handle and account for money ... and do the shopping. However, I wanted to assure that their was a way for someone to submit or donate money as well and then we will do the shopping. Thank you. Let us know what you are going to pledge if you can. Then we will have an idea also about what is coming and going... thanks Red
